Terms of Service
Effective July 31, 2026
These terms are an agreement between you and CopyThatHQ Communications LLC ("CopyThat", "we", "us"). By creating an account or using the service, you agree to them. If you are agreeing on behalf of a business, you confirm you are authorised to bind that business.
1. What CopyThat is
CopyThat is dispatch software for field-service businesses. It provides a job board, sends job assignments to your technicians by text message, lets your dispatchers exchange messages with technicians, and — when you enable it — sends a single appointment-status text to a customer when a technician is on the way.
CopyThat is not a GPS or fleet-tracking product. We do not track technician location, and arrival estimates are derived from the scheduled appointment window you enter, not from any location signal.
2. Accounts and eligibility
- You must be at least 18 and using CopyThat for business purposes.
- You are responsible for the accuracy of the information you enter and for all activity under your account.
- Keep your credentials secure. Technician schedule links contain a private access token that grants access to that technician's jobs — treat them like passwords, and tell us promptly if one is exposed.
3. Subscription and billing
- CopyThat is sold as a flat monthly subscription per shop. Pricing tiers vary by technician count; texting your own customers under your shop's name is included on Growth and Fleet.
- Payment is processed by Stripe. Your subscription renews automatically each month until you cancel.
- Charges are non-refundable except where required by law.
- You may cancel at any time; cancellation takes effect at the end of the current billing period.
- We will give at least 30 days' notice before any price change affecting your subscription.
- If payment fails and is not cured, we may suspend and then terminate the account.
4. Your dispatch number
Each active subscription is provisioned with one phone number from our carrier for sending and receiving dispatch messages. You do not own or lease that number, and it is not portable to you by default. If your subscription is cancelled or lapses for non-payment, the number is released back to the carrier after a short grace period and cannot be guaranteed recoverable afterwards. If you need to discuss porting a number, write to hello@copythathq.com before cancelling.
5. Your messaging obligations
You are the sender of the messages your account transmits. CopyThat provides the pipe; the content, the recipients, and the consent behind them are yours. These obligations are not boilerplate — a breach of them puts every shop on our shared messaging campaign at risk, and we enforce them.
You represent, warrant, and agree that:
- Technician consent. Every technician whose mobile number you enter has an employment or contractor relationship with you and has agreed to receive job dispatch texts from your business.
- Customer consent. Every customer whose mobile number you enter has booked service with you and was told, at the time of booking, that they may receive appointment-status texts about that service.
- Opt-outs are final. You will honour every opt-out and will not re-enter, re-add, or work around a number that has opted out.
- Transactional only. You will not send marketing, promotional, or solicitation content through CopyThat. That includes review requests, discounts, seasonal offers, re-engagement campaigns, and anything unrelated to a specific scheduled job.
- Prohibited content. You will not send content relating to cannabis, alcohol, firearms, tobacco or vaping, illegal drugs, gambling, adult content, hate speech, high-risk financial offers, debt collection, or anything otherwise unlawful.
- Legal compliance. You will comply with the Telephone Consumer Protection Act, CTIA messaging principles and best practices, and all applicable carrier requirements for application-to-person messaging.
- Records. You will retain records of the consent described above and provide them to us promptly on request.
We may suspend or terminate messaging on any account we reasonably believe is in breach of this section, immediately and without prior notice, in order to protect the shared messaging campaign and the other businesses on it.
6. Acceptable use
You will not: message people who have no relationship with your business; resell or sublicense the service; reverse engineer it; attempt to access another shop's data; send high-volume traffic through the service by automated means outside the provided interface; or use the service to violate anyone's rights.
7. Your data
Your jobs, customers, technicians and messages remain yours. You grant us the limited licence necessary to host, transmit, back up and display that data in order to operate the service. We may use aggregated, de-identified statistics to improve CopyThat. Our handling of personal information is described in the Privacy Policy.
8. Availability and message delivery
We work to keep CopyThat available, but we do not offer a formal uptime guarantee at this stage of the product, and we may take the service down for maintenance. Text message delivery depends on mobile carriers and is outside our control: messages may be delayed, throttled, filtered, or not delivered at all. Do not rely on CopyThat as the sole channel for anything time-critical or safety-critical.
9. Disclaimer
The service is provided "as is" and "as available", without warranties of any kind, whether express or implied, including implied warranties of merchantability, fitness for a particular purpose, and non-infringement.
10. Limitation of liability
To the fullest extent permitted by law, CopyThat will not be liable for indirect, incidental, special, consequential or punitive damages, or for lost profits, lost revenue, or lost business, including any arising from a delayed, undelivered, or misdirected message. Our total liability for any claim relating to the service is limited to the greater of the amounts you paid us in the three months before the claim arose, or one hundred US dollars.
11. Indemnification
You will defend, indemnify and hold harmless CopyThatHQ Communications LLC from any claim, loss, penalty or expense (including reasonable legal fees) arising out of the messages sent from your account, your failure to obtain or honour consent, the data you enter, or your breach of these terms.
12. Termination
You may stop using CopyThat and cancel at any time. We may suspend or terminate an account for breach of these terms, non-payment, or conduct that puts our carrier relationships or other customers at risk. On termination, your dispatch number is released as described in section 4, and you may request an export of your data by writing to us within 30 days.
13. Governing law
These terms are governed by the laws of the State of Florida, without regard to its conflict-of-laws rules. You and CopyThat agree to the exclusive jurisdiction of the state and federal courts located in Florida for any dispute arising out of these terms or the service.
14. Changes to these terms
We may update these terms. Changes are posted here with a new effective date, and material changes are emailed to subscribers. Continuing to use the service after a change takes effect means you accept the updated terms.
