Privacy Policy

CopyThat is dispatch software for small field-service businesses. This policy explains what information we collect, why we collect it, and what we will never do with a phone number.

Mobile information is never sold or shared for marketing. We do not sell, rent, or share mobile phone numbers or SMS consent with third parties or affiliates for marketing or promotional purposes. No mobile information collected as part of our SMS program is shared with any third party for that party's own marketing purposes. See Text messaging below and our SMS Program & Messaging Policy.

1. Who we are

CopyThatHQ Communications LLC ("CopyThat", "we", "us") operates the website at copythathq.com and the dispatch application at app.copythathq.com. You can reach us at hello@copythathq.com.

2. Two kinds of people in this policy

Subscribers are the owners and dispatchers at a field-service business who hold a CopyThat account. We are directly responsible to them for the information in this policy.

People a subscriber enters are that business's technicians and its booked customers. For their information, the subscribing business decides what is collected and why; CopyThat processes it on that business's instructions as its service provider.

If you are a technician or a customer and you want your information corrected or deleted, the fastest route is the business that serves you. You may also write to hello@copythathq.com and we will pass the request along and assist.

3. What we collect

AccountBusiness name, owner name, email address, and a hashed password. Provided by the subscriber at signup.
BillingSubscription status and Stripe customer and subscription identifiers. Card details are entered directly with Stripe — we never receive or store full card numbers.
Dispatch numberThe phone number we provision from our carrier for the subscriber's shop.
TechniciansName, mobile number, active status, and a private access token used for the technician's schedule link. Entered by the subscriber.
CustomersName, service address, phone number, and job notes. Entered by the subscriber.
JobsJob titles, addresses, scheduled windows, status changes and timestamps.
MessagesThe text of SMS messages sent to and received from technicians and customers through the shop's dispatch number, with timestamps and delivery status.
Opt-outsPhone numbers that have replied STOP, recorded so we can keep honouring the opt-out.
TechnicalIP address, browser and device information, and server log and error data.

4. How we use it

We do not use message content for advertising, and we do not sell any of the information described in this policy.

6. Who we share information with

We use a small number of service providers, each of which receives only what it needs to do its job and is not permitted to use it for its own purposes:

PostHogProduct analytics inside the app — feature usage, used to improve the service and find problems.

None of these providers receives mobile phone numbers for its own marketing purposes.

Cookies and ad tracking. This website uses cookies set by Google Analytics and the Meta Pixel to measure traffic and the performance of our advertising. You can opt out at any time, and nothing about the service itself changes: block or clear cookies in your browser settings, install Google's Analytics opt-out add-on, or adjust your Meta ad preferences.

We may also disclose information when required by law or valid legal process, to protect our rights or the safety of others, or in connection with a merger, acquisition or sale of assets — in which case this policy continues to govern the transferred information unless and until you are notified of a replacement.

7. How long we keep it

Account, job and message records are retained while the account is active and for a reasonable period afterwards to settle billing and meet legal obligations. Opt-out records are retained indefinitely — we have to keep them in order to keep honouring the opt-out. When a subscription ends, the shop's dispatch number is released back to the carrier. You may request deletion of your account data by writing to hello@copythathq.com.

8. Security

Traffic is encrypted in transit. Database access is governed by row-level security so one shop's records cannot be read by another. Technician schedule links carry a private access token, and inbound carrier webhooks are cryptographically signature-verified before they are accepted. No system is perfectly secure, and we do not claim otherwise — treat technician links as you would a password.

CopyThat is a business tool intended for use by adults. It is not directed to children, and we do not knowingly collect information from anyone under 13.

11. Changes to this policy

We will post any changes on this page with a new effective date. If a change materially affects how we handle your information, we will notify subscribers by email.
